Phase 3

Belmark Family,

The COVID19 Task Force has developed a phased approach to update policies and procedures put in place to maintain a safe environment in response to COVID19. Belmark will take a very conservative and slow approach, so please review the updates below carefully.
Belmark still maintains that if you are not feeling well – do NOT come to work.
Belmark will CONTINUE all policies related to creating a safe environment to prevent the spread of COVID19:

  • Personal hygiene – washing hands frequently
  • Facemasks worn on campus
  • Social distancing – no congregating, 6ft distance at all times
  • Closed campus to external customers and visitors

As part of Phase 3, we wanted to communicate the below with as much advance notice as possible. Please review the below updates carefully:

Proceed cautiously with the return of Remote Employees to Campus

The COVID Task Force is developing the schedule to welcome employees back to campus in small, select groups. The target will be to return a small controlled group of people over an extended period of time. Once complete this schedule will be shared so that remote employees can prepare for their return to campus.

On July 7th, 2020, Belmark will welcome the 2nd group of small, select employees (no more than 8 at a time) back to campus, in a deliberate, incremental and structured manner. Employees asked to return to campus will be notified in advance and will be required to attend a COVID19 Safety Protocol Orientation to familiarize themselves with all the safety procedures in place to combat the spread of COVID19.

Belmark Dress Code – July 7th, 2020
Belmark campus dress code will return to business casual. No jeans are to be worn unless there is a jean charity day.

Cubicle Policy – June 16th, 2020
In order to practice safe social distancing office employees are not to use the standing desk feature in their cubicles. This policy will be enforced by your managers.

Campus Visitors – July 7th, 2020
Strategic vendors will be welcomed back to campus to help maintain or install equipment. Vendors will be required to sign Belmark’s COVID Service Contractor Continuity Plan.

Sales representatives and remote work employees not scheduled to be at Belmark should remain off campus. We have drop box locations set up for anything you would need. Please contact your manager for instructions.

Recruitment/Hiring
Human resources has resumed hiring for strategic positions only. These positions will be provided to Human Resources through the Operations Team. Internal transfers and internal postings will also continue to be active.
Onsite interviews will resume with COVID safety precautions in place.

Locker Room/Onsite Classes – July 7th, 2020
The lower level locker rooms and showers will be available to onsite employees. Only one person will be allowed in the locker rooms at a time.

HR is working on setting a schedule for onsite outdoor fitness classes. Once complete it will be shared for all employees.

At this time our fitness center will remain closed.

Travel
All travel related to sales needs to be approved through Jeff Dowd. Sales representatives are asked to follow safety precaution policies as well as customer policies that have additional safety measures.
Air travel by Belmark employees for critical business needs must be approved through the Operations Team.

Personal Travel and Quarantine Update – June 10th, 2020

Effective June 10th, 2020, personal travel out of state will not require quarantine upon return. We ask you remain diligent while traveling and avoid areas where active case numbers are high or increasing. The interactive map tracking COVID19 cases by location can be found on the Intranet and here. We understand summer vacations and holiday plans may be in discussion in your personal lives and wanted to communicate this update as soon as possible. This is subject to change and will be closely monitored by the Task Force.
Vacation rollovers will continue to be allowed. Please note that vacation requests may not always be approved due to staffing needs to keep the business operational. Work with your manager on requesting time off, and do not assume requests are approved.

It is imperative that all pre-cautionary measures be followed on-campus when returning from travel to ensure the safety of our workforce.

$3.00/hour Thank You Pay & Double Time Policy – July 6th, 2020
Effective July 6th, 2020, we will discontinue our Thank You pay policy.
We will continue to pay double time for hours worked over 40 until further notice. We encourage you to work overtime as we continue to have significant customer needs. Thank you for your dedication and continued efforts to keep fulfilling customer needs during the crisis and moving forward.

The COVID19 Task Force continues to meet daily to discuss all aspects of COVID-related procedures. Please stay tuned for further updates. Thank you for your continued commitment to the safety and wellbeing of yourself, your family and your colleagues!

Thank You,
